Who we are
PokerBook is made by Kestrel Technologies LLC, a Pennsylvania limited liability company (“Kestrel”, “we”, “us”). This policy explains what PokerBook stores, why, who can see it, how long it is kept and the choices you have. PokerBook is a bookkeeping tool for private home poker games; it never handles money.
What we collect
- Your account. You sign in with Apple or Google through Firebase Authentication. We receive an account identifier and, if the provider shares it, your name and email address. Apple lets you hide your email behind a relay address. We never see or store a password.
- Your profile. Your display name and username, which version of our terms and this policy you agreed to and when, and which in-app introductions you have already seen.
- Your clubs. The clubs you belong to and your role in each (owner, co-host or player), invitations, whether a host has left you off invitations, and a private nickname a host may give you to tell people with similar names apart.
- People added by hosts. Hosts can record players without an account, and dealers and waitstaff on a club’s staff list, by name, together with their figures and running balances.
- Game records. Buy-ins, rebuys, cash-outs, tips, costs and Misc lines, settlement payments and whether they were marked paid, who is coming to a game, seat draws, tournament entries and finishing places, and an audit trail of who recorded or changed each figure and when.
- Running balances and statistics. What each person owes or is owed across games, and a long-term record of each night’s result (its date, the amount bought in and the net result) for your statistics.
- Subscriptions. Whether your account has an active Friendly or Club subscription. Purchases are made with Apple or Google, which handle payment; we never receive your card details.
- Optional avatar. You can choose initials or a built-in illustration. Photo uploads are no longer available. Photos uploaded in earlier versions may remain in your profile and club member records and may still appear in older app versions. Updated versions display initials instead of these photos. Choosing initials or an illustration replaces the avatar in your profile and active linked club member records. For help removing retained avatar data, contact support@kestreltechnologies.xyz. Account deletion remains available in Settings and through our account deletion page.
- Referrals. When available, we record referral codes, the name and qualification status of referred members, and reward and store-confirmation records. Invitation emails are opened in your own email app; we do not store the recipient address.
- Notifications. If you allow notifications, a push token for your device so we can tell you about games and results.
- Operational logs. Our servers keep short-lived technical logs of requests, such as whether a request was signed in, to keep the service running and secure.
PokerBook does not collect your contacts, precise location or advertising identifiers, and it contains no advertising. RevenueCat processes subscription history and your PokerBook account identifier to verify access and provide subscription reporting. We do not use this information for advertising tracking.
How we use it
Only to run PokerBook: to keep each club’s live game in sync between its members, check that the chips reconcile and work out who settles with whom, keep balances and statistics, record who changed what, run club roles and invitations, confirm subscriptions, send the notifications you asked for, keep the service secure and prevent abuse, answer your support requests, record your agreement to our terms, and meet legal obligations. We do not sell your personal information or use it for advertising.
Who can see what
- Friendly clubs have open books: every member can see each game’s figures and results.
- Club-plan clubs keep the books with the owner and co-hosts. A player can see their own entries, balance and results, but not other players’ amounts. Staff balances are visible only to the owner and co-hosts.
- Your display name and username are visible to members of clubs you belong to.
Companies that process data for us
We use a small number of service providers, under their own privacy and security commitments, only to run PokerBook:
- Google Firebase for sign-in, our database and server functions. Data is stored in the United States.
- RevenueCat to confirm subscription status and provide subscription reporting, using your purchase history and PokerBook account identifier.
- Expo, with Apple and Google’s notification services, to deliver push notifications.
- Apple and Google for sign-in and for subscription purchases.
We may also disclose information if the law requires it, to protect the rights and safety of our users or others, or as part of a merger or sale of the business, in which case this policy will continue to protect it.
How long we keep it
- A game’s detail — including entries, pot lines, settlement rows and that game’s audit trail — is normally deleted seven days after the game ends. If a Friendly game has unpaid settlements, or a tournament has unpaid settlement payments, its details are retained until those payments are settled, up to 90 days after the game ended. Settling a payment does not restart the seven-day period.
- Running balances, staff balances, long-term statistics, saved tip-earnings totals and balance adjustments not tied to a particular game are kept for as long as the club exists. Individual game-related balance-change records are removed seven days after they were recorded. Other game details follow the retention schedule above.
- Your account is kept until you delete it. A club is kept until its owner closes it, which deletes its records for everyone.
- Short-lived technical logs are kept only as long as our providers need them to run the service.
Deleting your account
You can delete your account in the app under Settings → Delete account, or see our account deletion page for how to ask by email. Deleting your account removes your login, profile and avatar, push tokens, personal referral code and referral history, and the private nicknames hosts gave you. You lose access to your clubs. Your name on entries in other people’s games becomes “Former member”; the amounts remain so their books still balance. Game details follow the retention schedule above. Deleting your account does not cancel a subscription; cancel it separately through Apple or Google Play.
Your choices and rights
You can change your display name in the app, turn notifications off in your device settings, and delete your account at any time. Depending on where you live, you may also have the right to ask for a copy of your information, to correct or delete it, to restrict or object to how it is used, and to receive it in a portable format. To make a request, email us from an address we can match to your account; we will verify your identity before acting and reply within the time the law requires. You can also complain to your local data protection authority.
Children
PokerBook is not directed at children under 13, and we do not knowingly collect information from anyone under 13. Users under the age of majority where they live need a parent’s or guardian’s permission. If you believe a child under 13 has given us information, contact us and we will delete it.
Security
Information travels over encrypted connections. Access is controlled so that each club’s records can only be read by its members, as described above, and money figures can only be changed through our servers, which keep an audit trail. No system can be guaranteed to be completely secure, but we work to protect your information and to fix problems quickly.
Changes to this policy
We will update this policy when PokerBook changes how it handles information. The date at the top shows the current version. For material changes, the app will show you the updated policy and ask you to agree before you carry on.
